Administrative Assistant – Quality Department

Amentum Nuclear Projects provides a wide range of services to government and industry in engineering, environmental, operations and maintenance, scientific, engineering, environmental and technical services. Our clients include Department of Energy, USAF, USACE, NASA, NAVFAC. We are currently executing many contracts, performing work that is essential to our clients' missions across a broad range of functional areas.

This position provides support in day-to-day functions that relate to the Quality department. The incumbent performs a variety of detailed tasks and ongoing assignments. He/she uses knowledge of defined Quality procedures to evaluate situations and select correct solutions and adapt processes and procedures as necessary to meet objectives. The incumbent exchanges information related to advanced Quality procedures. This position interacts with all departments and all levels of management, as well as with some external contacts.

Essential Duties & Responsibilities\:

·         Will report directly to the Project Quality Assurance Manager (PQAM) to support them on a daily basis.

·         Perform a variety of administrative tasks in support of the Quality department.

·         Use electronic systems to manage and track commitments and corrective actions, store and track communications and log documents both electronically and physically.

·         Ability to take detailed meeting minutes, scan/convert/upload documents including audit, assessment and surveillance data and documents.

·         Prepare and submit electronic and/or hard copy documents to Document Control through Prolog.

·         May design processes to enhance workflow.

·         Review documents for accuracy, grammar and completeness, ensuring documents meet standards for production.

·         Prepare and submit purchase requisitions in both a formal and informal format, submit the correct items for purchase, receive and distribute the items appropriately.

·         Handling of site-specific photographs before and after declassification.

·         Ability to assist with site-wide material, and work with other site admins to assist the project as a whole.

·         Upkeep a team calendar with PTO requests and assist with Overtime Requests and Timecards.

·         Preliminary onboarding of new hires within the group, from the beginning up until job specific training, including but not limited to, setting up their computer, starting them on online training, and entering them into in person training.

·         Compile and generate reports, statistics, timelines, tables, graphs, correspondence and presentations using Microsoft Office Suite. Compile, review, and analyzes data.

·         Gathers, compiles, tracks and reports on information relevant to project assignment from multiple sources.

·         Set up and maintains files, refer callers, arrange meetings and conferences, receive, refer and answer mail.

·         Small housekeeping tasks, such as, keeping the kitchenette stocked and clean, refilling the stock of water bottles and the water cooler, etc.

·         Additional duties may be assigned by PQAM as needed.

High School diploma or equivalent required  USA Citizenship  3 or more years of relevant experience   Advanced Microsoft Office Suite skills  Above average keyboarding skills/ high words per minute Prior Quality administrative support experience Experience working with and communicating with all levels of the organization  Highly personable, good attitude, and the ability to work with a wide range of personnel.

 Preferred Qualifications\: 

Proven attention to detail   Prior Supply Chain or Quality support experience   Person already residing a commutable distance from Idaho Falls, ID is highly desired  

Working Conditions & Physical Requirements\: Regular standing, sitting, bending, walking and handling of hard copy files and documents. Regular computer work. Ability to move records boxes/records weighing up to 30 pounds, stacks of paper weighing up to 20 pounds, and full cases of water, silverware, etc. is essential. 

The location is at the Idaho National Laboratory, approximately 55 miles west of Idaho Falls, Idaho.
