Yes County Albany Street Address Division of Family Health, Bureau of Child Health Corning Tower, Empire State Plaza City Albany State NY Zip Code 12237 Duties Description The incumbent will be responsible for triage of daily mail; managing program mailings; sending and responding to emails via various shared mail boxes; scheduling meetings and conference calls (virtual and in-person); maintaining staff calendars; arranging travel; and maintaining electronic tracking systems and program files. This position will also handle routine office accounts and purchasing, act as the Bureau liaison for Division-wide administrative meetings, assist with recruitments as needed, provide phone coverage for other Division bureaus as needed, and assist in data entry of program reports as needed. Minimum Qualifications Transfer Opportunity: Current New York State employee with one year or more of permanent, contingent-permanent, or 55-b/c service as an Administrative Assistant 1 (formerly Secretary 1); OR current New York State employee with one year or more of permanent, contingent-permanent, or 55-b/c service in a position allocated to a Grade 6 and above and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.NY HELPS: Administrative Assistant Trainee 1 (Grade 8): High school diploma or high school equivalency diploma and six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.Administrative Assistant Trainee 2 (Grade 10): High school diploma or high school equivalency diploma, and one year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.Administrative Assistant 1 (Grade 11): High school diploma or high school equivalency diploma; and two years of the above experience.A certification (e.g., IAAP Certified Administrative Professional) or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology may substitute for two years of experience.The selected candidates must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.Preferred Qualifications: Experience with organizing calendars in Outlook, triaging phone calls for multiple units or bureaus, proficiency in Microsoft Office Suite applications including Word, Excel, Power Point and Access, knowledge of office administration, proper business communications, and experience with State purchasing and travel guidelines.
