We are seeking a motivated and detail-oriented Administrative Assistant to join our dynamic team. This role involves supporting three managers within the sales team by managing calendars, coordinating travel arrangements, and handling expense reports. The ideal candidate will possess excellent organizational skills and be adept at multitasking in a fast-paced corporate environment.
ResponsibilitiesAssist three managers with calendar management, travel arrangements, and expense reports.Provide support for direct reports as needed.Coordinate morale events, new hire onboarding, and offboarding.Procure goods and services, including computer equipment, office supplies, and reference materials.Handle asset tracking and facility requests.Exercise sound judgment, tact, diplomacy, integrity, and professionalism in all communications.Build and maintain good business relationships with executive-level and administrative staff both internally and externally.Provide general office support and complete special projects as assigned.Essential Skills1-2 years of experience as a Business Administrator or similar discipline.Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint, Visio, and SharePoint.Minimum of 4+ years of professional experience as a Senior Admin/Business Administrator.Minimum of 4+ years of experience with Outlook calendaring.Minimum of 2+ years of experience in travel coordination and expense reporting.Additional Skills & QualificationsBe process-driven, extremely organized, and detail-oriented.High integrity and the ability to handle confidential information appropriately.Ability to deal with ambiguity, make independent decisions, be proactive, and drive tasks to closure.Capable of juggling multiple projects at once, actively tracking pending items, and constantly re-prioritizing tasks based on changing business needs.Strong interpersonal skills, integrity, self-awareness, and excellent customer service skills.Proven track record of excellent judgment, problem resolution, teamwork, negotiation, budgeting, and analytical skills.Experience with internal tools such as MS Expense and Employee Central is a plus.Work Environment
This is a hybrid role requiring local candidates to work onsite 1-2 days per week in a large, fast-paced professional office setting. Standard business hours are Monday through Friday, 40 hours per week with occasional overtime. The team utilizes Teams chat and holds weekly sync meetings.
Pay and Benefits
The pay range for this position is $27.00 - $31.00/hr.
