**Title: Administrative Assistant 2** **(Bilingual in Japanese)**
**Duration:** 3 months (High possibility for an Extension **.** Highly likely; aiming for an 18-month extension based on performance after the budget approval)
**Location:** Fully Remote (Domestic US)
+ Slight preference for candidates who can occasionally come onsite to Las Colinas 1 (Irving, TX).
+ Candidates must be able to work across time zones, supporting CST and occasionally working with teams in Japan.
**Schedule & Overtime:** 40 hours/week (M–F), flexible hours. some meetings may align with Japanese time zones.
**Pay Rate Range:** $25 to $30/hr
**Top 3 Hard Skills Required + Years of Experience**
+ Minimum 5 years’ experience with English and Japanese language fluency (must have professional written and spoken Japanese skills, especially with Keigo and Sonkeigo for addressing customer senior executives).
+ Minimum 4 years’ experience with Team support booking events and travel.
+ Minimum 4 years’ experience with Calendaring in Outlook, Microsoft Teams, and comfortable using Excel.
**Key Responsibilities**
+ **Executive & Team Support:**
+ Manage senior executive scheduling (meetings between CEOs/COOs).
+ Prepare meeting materials, set up pre-call briefs, attend meetings, and debrief.
+ Help manage team efficiency, track key tasks, and ensure follow-ups.
+ Maintain and update team and customer event calendars.
+ **Calendar & Travel Management:**
+ Primarily manage one executive’s calendar; provide supplemental support to one other person.
+ Organize travel arrangements (monthly, for up to two or three team members).
+ Coordinate some event planning, including executive briefings and facility bookings.
+ **Administrative Duties:**
+ Support a team of approximately **100 members** .
+ Utilize Microsoft Office tools, with a focus on Outlook, Excel, and PowerPoint.
+ Work collaboratively with executive assistants and occasionally interact with executives directly.

+ Organize meetings, events, and financial operations.
+ Assist in procurement (office supplies, IT equipment, vendor coordination).
+ **Operational Coordination:**
+ Track and analyse business metrics and team performance.
+ Ensure compliance with team learning plans and operational goals.
