Northrop Grumman Mission Systems (NGMS) is seeking an Administrative Assistant 4 to support multiple Directors in the Launcher Operating Unit (OU), and provide additional support to the broader OU in Sunnyvale, CA. The individual in this role will get to work in a challenging role that also has a lot of delegated authority/responsibility while working for multiple Directors. This position will report directly to OU Program Manager.
The successful candidate will work well in a highly dynamic environment, be an independent thinker, be customer oriented, be proactive and have a track record of working in a fast-paced, multi-faceted environment with a high daily workload supporting multiple managers, employees, and priorities as required.
Roles and responsibilities of the Administrative Assistant 4 will include (but not be limited to) the following:
Coordinate meetings, onsite and offsite, internal as well as for Customers and VIPs. This includes ordering, setting up food for the attendees and post visit clean-up.Ensure start up of virtual meetings via Zoom or Microsoft Teams.Coordinate agendas for customer and VIP visits.Arrange visitor badging and receive visitors.Arrange, maintain, and modify the Director’s schedule and associated departmental activities.Assist the directors with making travel arrangements and submitting expense reports.Handle confidential business matters and maintain effective and efficient organization of administrative requirements.Handle information requests and prepare correspondence.Customer interface.Provide some administrative support for programs that report to the Directors.Support other admin assistants as needed.Basic Qualifications:
High School Diploma with a minimum of 6+ years additional education and/or professional relevant experience.Computer skills required include advanced expertise in Microsoft Office software (Word, PowerPoint, Outlook and Excel).Ability to coordinate Outlook calendar, conference call, and shared link applications.Prior experience coordinating both on and off-site meetings and/or events.Ability to complete a wide variety of tasks with minimal supervision.Experience with travel planning and expense reporting.Ability to work onsite full time.US Citizen required.Preferred Qualifications:
SharePoint (or equivalent).Ability to compile and generate reports and presentations.Experience proofreading and correcting documents for grammatical errors.Proactive, highly motivated and adaptable, with excellent organizational skills including the ability to juggle multiple tasks, changing needs, and competing priorities.Highly developed verbal and written communication skills and proven success in organizing, prioritizing, and completing assigned responsibilities.Ability to interface with executive level internal and external contacts with considerable autonomy.Familiarity with SAP, Concur, Facilities requests, IBUY, etc.Salary Range: $64,600.00 - $107,600.00The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives.
