Job DescriptionThis position provides office administration and is involved in the daily management of the Shanghai Sales office. Also responsible for various administrative projects as assigned.
Primary Responsibilities/Essential Functions
Welcomes visitors, determines the reasoning for their visit and notifies the correct office personnel. Maintains visitor log.Maintain employees enter/exit records and out of office records. Receives and distributes mail and deliveries. Create outgoing shipments with FedEx/ UPS and monitor tracking information and invoicing.Coordination of on-site and off-site office events/ celebrations, reserving and preparing a space, ordering meals. First point of contact for office vendors. Coordinate with office vendors as needed. Supervise the maintenance of office equipment (water, coffee, snacks, air purifiers, dishwasher, and printer) Manages office supply and kitchenette inventory and organization of all supply rooms. Order office and kitchenette supplies as needed, while staying within budget. Provide support for the site leader with various tasks as needed. Act as liaison between the Shanghai office and other department like IT, HR, Finance, etc. QualificationsAssociate’s or Bachelor’s degree preferred.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office software.
Strong organizational and time management skills.
Excellent written and verbal communication abilities.
Ability to work independently and collaboratively within a team.
Attention to detail and problem-solving skills.
