Position purpose:
The administrative assistant is responsible for overseeing the efficient office operations of the Office of Student Affairs and Diversity (OSAD). In addition to managing the front office presence, this position is responsible for triaging student needs to the appropriate team members and providing direct administrative support to the Associate Dean for Student Affairs and Diversity.
Essential Functions:
1. Serves as the initial point of contact for the unit; oversees the efficient operation of the front office area to ensure efficient triaging of student needs to the appropriate team members; supervises student workers; utilizes BANNER and other university systems to manage information, prepare attendance reports, order supplies, process expenses, reconcile travel reports for the OSAD team, etc.; coordinates office resources (office supplies, copier, FAX, A/V equip, conference room, etc.); maintains an effective (physical and digital) filing system for diverse information including confidential files (e.g. Discipline, Health & Welfare). (50%)
2. Collaborates with the Associate Dean for Student Affairs & Diversity and the OSAD leadership team for annual budget creation process; tracks expenses throughout the year to ensure alignment with the budget; provides monthly budget status report to the Associate Dean for Student Affairs and Diversity. (20%)
3. Collaborates with peer assistants within the College of Medicine and other Belmont offices to implement and support Student Affairs initiatives.(10%)
4. Provides direct administrative support to the Associate Dean for Student Affairs and Diversity and oversees special projects as assigned. (10%)
5. Onboards new members of the Student Affairs and Diversity Team. (5%)
6. Represents OSAD on the FCoM Disaster Preparedness Task Force. (5%)
