Administrative Assistant
Overview Pacific Retirement Services is looking for an Administrative Assistant. This position will provide assistance, organization, and support as needed for the Pacific Retirement Services’ Community Housing Program management staff. You will represent the Community Housing Corporations to public and private agencies, governmental bodies, and social organizations. What You'll Be Doing: Maintain applicant and resident relations, program integrity and regulatory discipline within HUD and PRS guidelines and restrictions. Treat applicants and residents with utmost respect and maintain professional confidence regarding all necessary HUD and PRS mandated screening and review processes. Update, create and maintain written policies and procedures compatible with HUD written policies and PRS policies. Answer Community Housing 800 phone lines and check voicemail. Return messages accordingly, reroute calls as appropriate, give program information to callers. Oversee necessary travel, lodging, transportation, and room reservations as necessary, in addition to staff correspondence and communication. Provide clerical support for the Community Housing management staff including, but not limited to; creating and managing expense reports, writing letters, making copies, mailing paperwork to various agencies, property tax exemptions, development applications and reports. Monitor and follow up on work-in-process to ensure deadlines are met on behalf of the Community Housing management staff. Take the lead on all general correspondence sent from the Community Housing central office and track any required follow-up from staff/communities. Serve as the Safety Program Coordinator and conduct monthly safety meetings, create agendas, minutes, quizzes, and oversee the Safety Program. Coordinate and oversee special projects/programs including but not limited to Risk Management, Safety, PRS Connect, Tax Exemption, Fair Housing (including required updates of Affirmative Fair Housing Marketing Plan), and Software Implementation. Assist as needed in different Pacific Retirement Services and other community committees to ensure the Community Housing Program is involved. Deliver banking deposits to designated financial institutions in compliance with banking regulations and policy as necessary. Assist in coordinating rent-up of new communities. Perform other duties as assigned. About You: Certified Occupancy Specialist (COS) certification, trained and certified within 15 months of hire, or actively pursuing the certification. If you are not COS certified within 15 months, PRS and the communities reserve the right to end employment unless the quality of work displayed justifies continued education and training toward the certification. Minimum of two (2) years’ experience in the business field. Computer/word processing skills, strong organizational skills, strong written communication skills, and good phone and public relations skills.
