Administrative Assistant

Job Summary

 

This position organizes and coordinates office operations to ensure organizational effectiveness and efficiency. This position maintains office operations, sales requests, supplies, and equipment as well as welcoming visitors and answering the phone.

 

Duties and Responsibilities: Includes the following. Other duties may be assigned.

Answer telephone and give information to callers, take messages, or transfer calls to appropriate individuals. Greet visitors and handle their inquiries. Receive and distribute incoming mail. Stamp outgoing mail and responsible for sending all overnight packages via UPS or FedEx. Place office supply and breakroom orders. Maintain inventory levels of all stock. Point of contact for all office vendors for maintenance of office equipment. Maintain the appearance of the office, lobby, and conference room. Maintain conference room schedule. Meeting planning including ordering of food, organization of meeting materials, maintenance of conference room equipment and supplies. Compiles and sends all sales samples, color chips, sales materials, and marketing materials for the Regional Sales Manager and Territory Sales Representative at the location. May be required to perform other duties as directed, requested, or assigned including, but not limited to, filing.

Equipment Used:

Standard office equipment.

Working Conditions:

Office Environment Monday – Friday, 8 am – 5 pm. Overtime may be required if workload dictates.

Required Skills/Abilities/Knowledge:

Knowledge of administrative and clerical procedures and systems. Effective written and verbal communication skills. Time Management and organizational skills. Strong problem-solving skills.

Education and Experience:

High school diploma or GED. Three to five years of office experience.
