Administrative Assistant
Description We are seeking an Administrative Assistant to join our team in the non-profit industry based in ROCHESTER, New York. This role will involve a variety of administrative tasks, including maintaining databases, handling correspondence, and assisting with staff recruitment. This role offers a contract to hire employment opportunity. Responsibilities: • Answer routine inquiries and forward complex queries to the appropriate team member • Assist in the recruitment process for staff members • Maintain and manage student and staff attendance records • Handle the school program referral process and maintain the associated database • Assist with the administrative functions of related service contracts, including correspondence and billing • Work closely with the Director on daily program activities • Manage revisions to various school management systems • Maintain program filing and record retention systems • Assist with mailings to student families throughout the year • Coordinate with Human Resources on professional certifications and licenses • Establish and maintain Clinic records for students • Demonstrate sensitivity and respect for the diverse cultural backgrounds and practices of students, staff, and families. Requirements • Minimum of 2 years of experience as an Administrative Assistant or in a similar role within a non-profit organization • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook • Experience with data entry and maintaining accurate records • Excellent customer service skills, with a history of handling inbound and outbound calls • Ability to manage and schedule appointments in an organized and timely manner • Experience in answering inbound calls and responding to inquiries promptly • Skilled in email correspondence, with a focus on clarity and professionalism • Ability to multitask, prioritize, and manage time effectively • Strong organizational and planning skills • Excellent written and verbal communication skills • High attention to detail and problem-solving skills • Ability to work independently and as part of a team.
