As a Part-Time Administrative Assistant, you will provide support for the Raleigh office. This position will work closely with the Branch Manager, Department Managers, Project Managers and staff to carry out all necessary duties and responsibilities. Job Responsibilities: Provide client support including entry of field data, creation of invoices & distribution, weekly distribution of field paperwork to clientsScan, file and save field paperwork and other project documents to server and hard foldersAnswer the phone, speak with clients and collect accurate information from client inquiries and share with appropriate team membersCross train on all administrative dutiesAssist in special projects such as commercial insurance renewals, tracking of corporate memberships and business licensesConduct out-of-office errands on an as-needed basis such as obtaining supplies, package drop-off, etc. Assist with timesheet collection and field reports from techniciansSet up projects in accounting software (Deltek Vantagepoint)Assist with monthly invoicing and weekly report distributionAssist with collections as needed from clientsAssist with tracking lab assignments and concrete report preparationMaintain excellent communication both verbally and electronically with supporting staffOther tasks as assignedQualifications & Skills: High School DiplomaPreferred: Minimum of 1 year in an administrative position in an office settingProficient knowledge and use of Excel and other Microsoft Suite programsAbility to follow directions and carry out instructions in both verbal and written formAbility to define problems, collect data, establish facts and draw valid conclusionsAbility to read, analyze, and interpret general business memos, periodicals, professional journals, proposals, technical procedures, and government regulationsAbility to write reports and business correspondence Ability to effectively present information and respond to questions from groups of managers, employees, clients, customers and the general publicMust be able to use technology efficiently including computers, computer software and phonesMust be a problem solver and have the ability to think through and solve problems that may ariseStrong interpersonal and communication skillsPlanning/organizing—the individual prioritizes and plans work activities, uses time efficiently and develops realistic action plans with a strong attention to detail and ability to multi-taskAdaptability—the individual adapts to changes in the work environment, manages competing demands and is able to deal with frequent change, delays or unexpected eventsWorking Conditions & Physical Requirements:Days and hours for this position are typically Monday-Friday, during the day, approximately 15-20 hours per weekThe work setting is in an office atmosphere There is exposure to moderate levels of noise that could include a business office with computers and printers with light traffic throughoutAbility to use your senses to see (including close, distant and peripheral vision, depth vision and ability to focus), smell, hear and touch (use your hands to reach, climb or balance, crouch, stoop, crawl, kneel and sit)While performing the duties of this job, the employee is regularly required to sit, walk, transport, and focus vision on the computerThis employee may occasionally lift and/or move up to 20lbs.Must successfully pass pre-employment screenings to include background and reference checksUES is a drug-free workplace.
