Administrative Assistant
Description: This position performs a variety of administrative and clerical tasks, ensuring the rest of the staff has adequate support to work efficiently. The role will be in-between an Administrative Assistant and an Executive Assistant, and will be supporting a few different managers. The goal of the Administrative Assistant is to ensure the efficient and smooth day-to-day operation of our office. Will also handle calendar management and travel planning. This individual will sit at the front desk and will be the face of the company- they are expected to be friendly, organized and able to multi-task/prioritize effectively. PRIMARY TASKS • Providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. • Answer and direct incoming phone calls • Provide general support to visitors • Distribution of mail • Maintain filing systems • Maintain vendor relationships and contracts regarding office maintenance. • Maintaining inventory of office and breakroom supplies. • Assist with the planning of company outings/events Skills they are looking for: • Highly organized with a strong attention to detail • Proficient at handling a high volume of tasks • Ability to work quickly, efficiently and independently under minimal supervision • Ability to manage multiple projects and execute under accelerated timeframes • Ability to work in a highly productive, constantly changing environment • Professional and effective communication, both written and orally • Must be a team player and contribute to continuous improvement within the company Skills: Administrative support, office support, clerical support, Calendar management, Office management, Microsoft office Additional Skills & Qualifications: Must haves: - Minimum 2+ years experience in an office/clerical/administrative support role - Experience with calendar management - Travel planning experience - Able to file (know ABC's) - Customer service skills- ability to speak professionally via phone and in person. - MS Office Suite Preferred: Experience supporting 2+ managers directly Experience Level: Intermediate Level About Aston Carter: Aston Carter provides world-class corporate talent solutions to thousands of clients across the globe.
