Administrative Assistant

This position performs a variety of administrative functions. Responsibilities include but are not limited to scheduling appointments, composing memos, editing and proofreading proposals and presentations. Provides administrative support to a department or group of professionals; requires the ability to exercise judgment and employ reasoning skills. Must be able to work in a rapidly changing environment and provide timely, high-quality and accurate work product.

 Essential Duties:

Prepare correspondence proofreads and formats documents. Handle incoming and outgoing mail. Prepare invoices/billings for entire team as directed. Schedule appointments and maintains calendars. Maintain and update contact lists using Microsoft Outlook and CCH Practice Management. Edit and proofread PowerPoint presentations from various sources as directed. Assist administrative team with duties as needed, including but not limited to providing coverage for receptionist, working with a team on special projects and other administrative duties as they may be required. Capable of taking direction from a variety of sources including Partners, managers and other administrative professionals. Must follow Firm’s procedures, style-manual and protocol.

 Qualifications:

Two to four years of experience as an administrative assistant Strong Microsoft Office knowledge (Word, Excel and PowerPoint). Ability to link Excel spreadsheets to word documents High school education or equivalent Strong organizational skills. Strong written and verbal communication skills. Experience processing, proofreading and formatting documents. Able to extend time commitments during periods of meeting critical deadlines. Experience working at a Public Accounting Firm.
