Administrative Assistant

Harvest Wind and White Creek Wind are neighboring wind farms located in Roosevelt, Washington, just eight miles from the Columbia River in South Central Washington. Harvest Wind, operational since 2009, generates 98.9 MW from its 43 Siemens 2.3 MW turbines, while White Creek Wind, operating since 2007, produces 204.7 MW with 89 Siemens turbines. Together, these facilities leverage their strategic location and advanced technology to supply reliable, renewable energy to the region.

Opportunity Summary

The Administrative Assistant plays a key role in ensuring efficient office operations by managing communication, organizing information, and supporting administrative tasks. This position involves greeting visitors, scheduling meetings, maintaining inventory, processing mail, and tracking essential records such as site keys and radios. In the absence of the Plant Administrator, the Administrative Assistant provides critical support to maintain seamless administrative functions.

Primary Functions

Greets visitors and callers in a professional and courteous manner, answering inquiries, providing information, and directing them to the appropriate staff or department as needed. Transfers calls efficiently, takes detailed messages, and coordinates scheduling for site tours and meetings to ensure smooth operations. Processes incoming and outgoing mail, including retrieving, opening, and date-stamping mail; sorts and distributes mail and deliveries; folds and stuffs documents for outgoing mail; handles mailing via U.S. postal service, FedEx, and other providers; sends and receives documents using a fax machine; responds to electronic mail messages as required. Files and organizes information in accordance with office procedures, maintaining accurate and efficient filing systems. Retrieves files from manual or computerized systems, creates new files, and uses the copier for document duplication as needed. Monitors and maintains inventory of general office supplies, ensuring sufficient stock levels are available. Places orders, tracks deliveries, and organizes supply areas to support uninterrupted office functionality. Tracks distribution of site keys and radios using designated logs, ensuring accountability and secure access to essential equipment. Regularly updates records to reflect current status and follows up on unreturned items as necessary. Performs basic arithmetic tasks such as calculating totals, reconciling figures, and compiling numerical data to prepare reports, forms, or other documentation with accuracy and attention to detail. Track and manage Siemens and contractor training certifications, monitoring current validation status and expiration dates to ensure compliance with site requirements. Maintain and regularly update the site introduction materials, ensuring accuracy and relevance, and deliver comprehensive presentations to contractors and vendors to align them with site policies and procedures. Supports administrative functions in the absence of the Plant Administrator, including managing schedules, addressing urgent issues, and ensuring continuity of essential office tasks. May act as the point of contact for administrative inquiries during this period.

Working Relationships

The Administrative Assistant reports to the Administrative Supervisor and cooperates with all plant personnel relative to the administrative process.

Working Conditions

Some work may require protective equipment to be worn (hard hat, safety glasses, hearing protection). Working conditions may include being outside in cold and hot weather for periods of time. The site is strictly nonsmoking.

Physical requirements may also include the possibility of standing for extended periods of time, as well as stair and ladder climbing.

Fitness for Duty

All employees will participate in the Fitness for Duty Program. This program includes a pre-employment drug screen and post-employment random drug screening.

Work Schedule

Regular scheduled workdays are Monday to Friday, during normal working hours. The position may require extended working hours, including the possibility of working weekends and holidays, depending on the workload. Travel as needed to participate in offsite meetings or conferences.

Compensation

Initial starting compensation will range from $25.00 to $30.00 per hour and will include an annual performance bonus.

Job Qualifications

A high school diploma or equivalent is required, demonstrating foundational education and the ability to perform essential administrative tasks. Experience in general office operations is necessary, including managing daily tasks, organizing documents, and coordinating communications. Understanding of general accounting principles is highly desirable for managing financial records and reconciliations. Proficiency in accounts payable processes is essential, including invoice handling, payment processing, and vendor coordination. Proficiency in using a 10-key by touch and typing 45 words per minute is required for efficient data entry and documentation. Experience with word processing and spreadsheet applications is required for creating, formatting, and managing documents and spreadsheets. Strong oral and written communication skills are crucial for effective interaction with team members, vendors, and management. Must possess and maintain a valid Drivers License at all times.
