Job Description

 

Administrative Duties

Provide active Outlook calendar management for the VP, Global Security Services leadership. Work directly with team and across department to effectively communicate vital employee matters (e.g., team announcements and employee recognitions, birthdays and anniversaries) to appropriate audiencesManage all travel arrangements and logistics including itinerary building, expense report processing for leadership teamServe as team EA, managing team events, offsites logistics and celebrations for the team   Participate in the coordination and editing of communications that align with and support the overall goals of the team and organizationManage meeting logistics including booking conference rooms, registering and escorting visitors, room set up, catering, etcAssist with on-boarding process for all new team members across the teamOrdering team office supplies, swag as needed

The expected salary range for this role is $30.58 - $36.69 per hour

QualificationsPrevious experience as an Administrative Assistant, supporting senior leadership in a large organizationBachelor’s Degree or related experience preferredDemonstrates ability to handle and maintain confidential informationExperience planning large meetings and/or events requiredMust know MS Office (Outlook, Word, Excel, PowerPoint)Strong communication, project management and critical thinking skillsQuick learner and ability to understand sophisticated business issuesMust be organized, motivated and detail-oriented with superior follow-through and proactive approachAbility to manage meeting priorities and be comfortable juggling and moving multiple meetings on a weekly basisStrong attention to detail and ability to complete large volumes of work efficiently and effectivelyMust be extremely proactive with a desire to stretch beyond the task list to support the teamAbility to adapt to a constantly evolving business and work environmentProfessional, reliable, driven and results-orientedMust be in Chicago office at least 3 days/week and on days of Senior Leadership Team meetings
