Job Summary
Beacon Hill's client is seeking a highly organized and polished Administrative Assistant to support their close knit team with a wide range of clerical, organizational, and administrative responsibilities. This position works closely with leadership to manage schedules, communications, office operations, and special projects, ensuring the smooth operation of daily activities. Responsibilities:
Coordinate complex schedules and calendars, including business meetings, events, and travel arrangements.Handle correspondence, including triaging emails, screening calls, and managing incoming mail.Support office operations by managing supplies, arranging meals for meetings, and addressing basic IT issues or coordinating with vendors.Assist leadership with expense reports, meeting follow-ups, and project management.Contribute to marketing efforts by maintaining networking contacts, organizing client gift preparation, and managing referral communications.Serve as a backup for front desk and Welcome Specialist roles, ensuring smooth office operations when others are unavailable.Draft policies and procedures to optimize administrative processes and support organizational efficiency.
