Overview Admin support for Commercial Gene Therapy, Head of BD, Head of Tech Ops and Head of Program Management. This role will support: GTx, Tech Ops, Business Development, and Program management. Responsibilities Position Summary (Overview of Role):This role provides daily and on-going administrative support to five leaders within the organization. The ideal candidate will be experienced in handling a wide range of administrative support related tasks and will be able to work independently with little or no supervision. This is a non-supervisory position.   This role will report to the Commercial Head of Gene Therapies and will directly support the following: Head of Technical OperationsHead of Business DevelopmentHead of Program ManagementCommercial and strategy operations Gene TherapyResponsibilities (Essential Role Responsibilities):Additional representative responsibilities will include, but not necessarily be limited to, the following: Responsible for proactively managing calendar, scheduling meetings and resolving related conflictsBook travel arrangements and organize itinerariesPreparing expense reportsOrganize both onsite and offsite meetings and preparing meeting rooms for workshops and hybrid meetingsPreparing printouts or other materials needed in advance of meetingsPreparation and revision of presentations including graphs, charts, interpreting conceptual designs to produce finished products using appropriate PC tools such as PowerPoint, Excel and WordPreparation and tracking of budgets and vendor contracts; other projects requiring software/graphics expertise.Submitting vendors contracts/renewals to Jagger and Oracle, and follow up with approvals and payments with internal stakeholders (Procurement, AP, finance etc.)Setting up, maintaining files and general correspondenceInterfaces with other Executive Assistants to complete Corporate initiatives.Responsible for following-up on assigned tasksHandle other responsibilities as assignedPosition Requirements (Required and/or Preferred Skills, Experience and Education):Education:A minimum of a High School Diploma; Bachelor’s degree preferredExperience:Minimum of 3 years administrative assistant experience supporting senior level management requiredAbility to manage the needs of multiple constituentsAbility to exercise discretion in dealing with confidential or sensitive mattersAbility to handle multiple projects simultaneously while remaining flexible to shift priorities quicklyAbility to excel in a fast-paced environment, sometimes under pressure, with a high level of professionalism is crucial to this roleCommunicate professionally with senior leadership and all stakeholdersSkills and Knowledge:Excellent calendar management skillsMust have excellent communication skills (verbal and written).Highly organized with a strong attention to detail, clarity, accuracy, and conciseness.Ability to manage multiple projects simultaneouslyHighly proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).Ability to prioritize based on business needAbility to operate with a sense of urgencyHighly motivated toward achievement and surpassing set goalsDesire to learn and take on challenging assignmentsMust successfully exhibit Insmed’s five (5) core values of: Collaboration, Accountability, Passion, Respect and IntegrityIndividuals must demonstrate the ability to interact successfully in a dynamic and culturally diverse workplace.
