We are seeking an Administrative Assistant to work on our Customers Site (ESA-ESTEC) in the Netherlands. You will support the Business Unit Controlling Office and the Project Management Support Offices in the Directorate of Earth Observation Programmes (D/EOP). The overall goal of the service is to perform an overall support service to the Business Unit Controlling Office and the project management support offices, consisting of CADM support, administration and documentation, project control administration and schedule support.
Please note that this is a full-time position with a one-year fixed-term contract.
Main ResponsibilitiesAs Administrative Assistant you will concentrate your activities on the following:
Organise calendars for project teams. Organise internal and external meetings and reviews including room and resource booking. Prepare documentation and briefings for meetings. Support the procurement of promotional items. Support incoming phone calls and information requests. Prepare and organise the travel requirements and mission claims for EOP Project Teams. Assist in the arrival/departure process. Prepare minutes of internal meetings and maintain relevant action item lists. Assist in preparation of reports. Prepare and maintain the internal and external information tools (e.g. SharePoint, web pages, etc.) for internal and external communications at programme and project level, including writing and editing of web pages, letters, etc. Successful CandidateDo you think you are the person we are looking for? See below what experience or knowledge you should bring:
Vocational Degree or equivalent. At least 2 years of relevant experience. Strong knowledge of Microsoft365 and Teams. A good knowledge of the various ESA tools (i.a. MAS, ESA-P) is welcomed. Knowledge of SAP can be considered as an asset. Excellent interpersonal skills are needed, together with a high degree organizational and communication abilities. Comfortable with working in a diverse and multinational team environment. Ability to work independently and establish good working relations with relevant actors in ESA and Industry. Proficient in the English language, both written and spoken. Knowledge of another EU member state language is an asset.
