What will I be doing?
The administrative assistant provides the Team with administrative support, including maintaining the department's property management system, filing answering telephones, taking messages, maintaining appointment calendar, preparing reports, liaising with contractors/ service providers, demonstrate efficient customer service and other general office duties. Specifically, you will be responsible for performing the following tasks to the highest standards:
\n\nOpens incoming mail, dates stamps and distributes accordingly\nSends outgoing mail, both interoffice and outside of the hotel\nPrepares and types correspondence and fairly complex numerical/financial reports, as directed by management\nDuplicates, copies and distributes and mails material for the department/office\nOrders and maintains office supplies and equipment\nMaintains files / records and equipment in an orderly and professional manner\nAssist with updating the computerize system with critical data for the day-to-day operation \nAssist with assigning work orders for the department\nUses the property's email system and maintains their email box, as is policy\nAppropriate business use of telephone and voice email system\nGreets internal and external customers in a friendly and professional manner\nCoordinate and participate in meetings, record minutes\nMaintain an up-to-date file on the status of licenses and contracts\n\nWhat are we looking for?
