Job Description
We are seeking a highly organized and detail-oriented Administrative Assistant to manage crew rotation schedules and ensure efficient staffing levels for our operations. The ideal candidate will have experience in administrative support, data entry, and proficiency with Microsoft Office Suite. This role requires excellent communication skills and the ability to work with a large international crew.
ResponsibilitiesCoordinate crew rotation schedules by assigning newly hired and returning crew members to ship assignments.Review and schedule logical assignments based on ship itineraries, budgeted manning levels, gender for cabin accommodations, and nationality/language for guest services.Ensure all active crew have been given a return date and ship assignment prior to sign-off date.Proactively plan each schedule to ensure that all areas are covered with adequate staff levels.Resolve requests from shipboard management, business units, and Deployment Administrators regarding crew scheduling requests and challenges related to employment contract extensions, changes, vacations, medical leave, and specific ship assignments.Review budgeted vs. actual manning on an ongoing basis to identify variances in staffing levels against staffing needs.Provide justification for shortages/overages and make scheduling adjustments to minimize variances.Provide the recruitment team with job requisitions for future openings.Assess onboard staffing requirements for specific positions/needs against available candidate pool.Update MAPS and/or MXP with crew movement information such as medical sign-offs, resignations, and terminations.Assign crew replacements in MAPS and/or MXP as necessary.Ensure personnel records are closed timely, with the correct leave reason.Assist with special projects as assigned.Essential SkillsHigh School Diploma or equivalent is required.1 year business/administrative experience and experience working with large international crew movement is required.2-3 years scheduling experience or previous cruise line experience preferred.Basic level proficiency with Microsoft Office Suite, especially Outlook, Word, and Excel.Knowledge of or ability to learn world geography and international visa requirements.Knowledge of or ability to learn MAPS and MXP systems.Excellent written and verbal communication skills.Additional Skills & QualificationsAdministrative supportData entryMicrosoft OfficeClericalOutlookAdministrative assistanceMicrosoft ExcelCalendaringCustomer serviceEmailSupportExcel data entryAdministrationFilingDetail-orientedOffice supportComputer skillsWork Environment
