Job Title: Administrative Assistant
Job Description

Provide professional administrative support for all staff, including partial reception duty, answering and directing telephone calls, delivering messages, greeting employees and visitors, distributing and collecting visitor building access cards, scheduling conference calls, distributing incoming and outgoing mail, coordinating catering for meetings, maintaining conference rooms and kitchen areas, updating office inventory supplies, coordination with local building management, addressing general visitors and employee inquiries, and providing as-needed support for other area operational functions including accounting, marketing, and human resources.

ResponsibilitiesType, revise and combine materials such as correspondence, reports, records, forms, meeting minutes, scientific or technical material, numerical data, and tabular information from rough draft, corrected copy, or previous versions.Proofread and edit documents for grammar, spelling, punctuation, and formatting.Complete word processing and database administration tasks as needed, including letters, memos, reports, shipping labels, and Excel spreadsheets.Provide travel arrangements and other miscellaneous engineering staff support tasks and administrative projects as needed.Essential SkillsAdministrative supportData entryMicrosoft Office proficiencyClerical and administrative assistanceCalendar managementStrong grammar, proofreading ability, and attention to detailAbility to read and assist with reportsProficiency in Outlook, filing, Microsoft Excel, and office supportExcellent computer skillsAdditional Skills & QualificationsHigh School diploma or equivalent, AS or BS preferred1-3 years of relevant experience in a professional office environmentExcellent verbal and written communication skills, including grammar, punctuation, proofreading, spelling, telephone, and interpersonal skillsFlexibility and ability to prioritize and handle multiple tasks in a fast-paced, multi-discipline environmentSelf-motivated, well-organized, detail-oriented, reliable, and punctualStrong communication and listening skillsAbility to handle confidential informationAn attitude and commitment to being an active participant in our employee-owned culturePrior administrative experience with a civil engineering consultant or architectural design firm preferredWork Environment

The position is based in an office environment with a Monday to Friday schedule. The start time is negotiable, with options of 7-4, 8-5, or 9-6. The office is located in downtown. The role involves assisting the Transportation Team.

Pay and Benefits

The pay range for this position is $25.00 - $26.00
