Administrative Assistant

We embrace a cleaner and leaner utility vision focused on eliminating energy waste and adding renewable energy from sources such as wind and solar._ **General Summary of Job Responsibilities** The Administrative Assist is responsible for performing a variety of administrative and operational support services required by business leaders. They will assist management with office operations, such as scheduling meetings, receptionist duties, and assisting with projects as assigned. The incumbent may handle sensitive and confidential information and resolve routine inquiries regarding operations and services. **Essential Duties and Responsibilities** + Order and maintain supply inventory and office equipment. Contact vendors, service providers and related departments (e.g. facilities, etc.) to resolve inquires and issues. + Compose, prepare and verify accuracy of a variety of materials which may include correspondence, reports, agendas, lists, forms, presentations, memoranda and other documents, independently or from leader instructions, assist and prepare department and other agenda items and prepare and maintain a variety of lists as required. + Coordinate office workflow. Screen, prioritize, and route telephone inquiries and other communications following established procedures. Receive and route mail to appropriate destination. Maintain department calendar and schedule appointments and meetings for leadership. Serve as a liaison between department and other administrative units. + Schedule and coordinate meetings including agenda planning and preparation. Coordinate special events (e.g., venue, invitations, assist speakers, catering, audio/visual, conference calls, etc.). Document meeting minutes. + Support employee recruitment efforts by arranging candidate visits and scheduling interviews. Provide support for the onboarding and offboarding of employees as requested. + Assist with maintaining appropriate department financial records. Prepare and review expense reports and invoices to submit for approval. + Coordinate transportation and travel for management. Process travel related documents. + • Other duties as assigned or may be necessary **Knowledge/Skills/Abilities** + Organizational and time-management skills. + Written and verbal communication skills. + Ability to resolve issues as required. + Ability to organize and prioritize multiple assignments + Ability to utilize various computer software programs. + Proficient computer technology and software skills, knowledge of Microsoft suit programs + Effectively work with individuals and groups. + Perform light office maintenance and upkeep as needed, such as changing light bulbs or restocking printer paper + Effectively and efficiently perform highly responsible administrative functions, duties and activities with attention to detail. **Education & Experience** + Associate Degree in Business or related field with 2 years of experience in administrative support role, or related activities + **[OR]** High School diploma with 4 years of experience in administrative support role, or related activities **Why should you join our team?** At Consumers Energy, we offer more than just a place to work.
