Position Overview We are seeking a highly motivated and detail-oriented Administrative Assistant to provide critical support to our administrative team on an as-needed (PRN) basis. In this role, you will be an integral part of our operations, ensuring that administrative processes run smoothly and efficiently. Your contributions will directly impact the quality of care we provide to our residents and the overall effectiveness of our team. Key Responsibilities: + Demonstrate commitment to NLCS’ core values in all aspects of work + Supports NLCS policies, procedures, guidelines and code of conduct standards + Cultivate an inclusive and supportive environment that empowers team members and residents to thrive, find meaning in daily activities, and pursue personal and professional growth, to align with our philosophy of purposeful living + Foster a positive work environment that promotes team member engagement and satisfaction + Managing front desk operations, greeting visitors, and handling incoming calls and mail distribution + Performing data entry, maintaining filing systems (both physical and digital), and ensuring accuracy in all administrative processes + Handling financial transactions, including processing and depositing cash payments, posting payments in the accounting system, and maintaining financial records + Preparing and distributing various documents, including correspondence, memos, reports, and billing statements to residents + Assisting with meeting preparations, calendar management, and travel arrangements as needed + Managing office supplies, including inventory, ordering, and invoice verification + Supporting team efforts by assisting with various departmental projects and tasks as required + Maintaining confidentiality when handling sensitive information Requirements + High school diploma or equivalent; Associate’ degree preferred + Minimum of 2 years of experience in an administrative role + Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) + Basic accounting knowledge and experience with financial transactions + Excellent verbal and written communication skills + Strong organizational skills and attention to detail + Experience with customer service and professional interaction with clients/residents + Ability to prioritize tasks and manage time effectively in a fast-paced environment + Familiarity with office equipment (e.g., printers, copiers, fax machines) + Adaptability to learn new software systems quickly + Discretion when handling confidential information + Ability to work independently + Enthusiastic, supportive and proactive + Ability to read and speak English Benefits Culture makes all the difference in an organization.
