Position Summary:

The Administrative Assistant provides administrative and office support for Teledyne Scientific & Imaging management and staff, ensuring smooth office operations and employee assistance. This role involves interfacing with teams across various geographically dispersed locations, with the home office based in Thousand Oaks, California.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Frequently utilizes Costpoint and Sharepoint systems

Handles travel authorizations, arrangements, hotel and airline reservations, conference registrations, and expense reports

Submits purchase requisitions as required

Provides purchasing support for office supplies and other approved items using a company issued procurement card

Processes requests for technical articles, IT services, and shipping documents

Prepares and issues product pool quotes for operations as needed

Ensures smooth meeting preparation, scheduling and confirming appropriate room set-up, IT support and arranging catering services

Provides administrative support for technical staff, business operations and serves as back-up administrative support for the President of Teledyne Scientific Company

Provides special financial tracking and reporting assistance for the Finance group as needed

Manages visitor and badge access requests

Supports the proposal approval process

Coordinates office preparation for new hires

Supports other administrative personnel as needed

Qualifications & Competencies                                                   

To perform the job successfully, an individual should demonstrate the following qualifications and competencies:

Advanced computer proficiency using Microsoft Office Suite (Outlook, Word, Excel & PowerPoint)

Well-developed interpersonal, communication and organizational skills

Ability to maintain accurate and detailed records with strong attention to detail

Capacity to make sound judgments and carry out appropriate courses of action in various situations

Ability to work on several tasks independently with minimal supervision

Displays exemplary ethics and business conduct and performs work cognizant of safe work practices

Education and/or Experience                                           

Associate’s Degree in Administration or related field or equivalent education and experience

Six (6) years to eight (8) of experience in a progressively responsible office environment role

A background in finance is advantageous

Citizenship Requirements

Due to the type of work at the facility and certain access restrictions, successful applicants must be a U.S. Citizen.

Salary Range:

$49,300.00-$65,700.000

The anticipated salary range listed for this role is only an estimate. Actual compensation for successful candidates is carefully determined based on several factors including, but not limited to, location, education/training, work experience, key skills, and type of position.
