The position is an individual contributor who supports four IT Vice Presidents and works closely with IT leadership, executives, executive admins, business leaders, suppliers and more. This role ensures excellent coordination and team engagement in a variety of activities, events, and projects. The Administrative Assistant performs a variety of critical functions, including but not limited to planning and scheduling meetings, maintaining critical information, consulting with internal and external partners, communications, and coordination of large meetings and events. Individuals will work in a highly collaborative and fast paced environment. Individuals will thrive by working quickly and efficiently to a high volume of requests. They will be empowered to take initiative and use good judgement in identifying and resolving potential conflicts. **What You Will Do:** + Calendar management for multiple Vice Presidents and their direct reports. + Manage travel arrangements and expenses for Vide Presidents. + Coordination of meetings across global teams. + Organize departmental documentation on various platforms (e.g., SharePoint, OneNote). + Create and distribute communications through various media channels. + Assist in planning and coordination of departmental level events (e.g., retirements, workshops, etc.). + Own & manage office space assignment and associated tasks. + Ensure office supplies are stocked and make department purchases as required. + Provide backup duties to other IT Admins. + Other tasks as assigned. **What You Have:** + Demonstrated creativity, ability to problem-solve and streamline processes. + Demonstrated intellectual curiosity to learn organization and its customers. + Experience with global time zone calendar management. + Operation within a community of assistants, especially important for negotiating meeting time / room calendar conflicts. + Excellent interpersonal and communication skills (oral and written) in English. + Excellent organizational and multi-tasking skills. + Strong collaboration and teamwork ability. + Strong initiative and ability to work independently. **Top Candidates will have:** + Ability to work with confidential information in a discreet manner. + Proficiency with technology (Microsoft Office, Concur Travel, Workday, Teams, OneNote, SharePoint). + Adaptability to change. + Ability to work outside standard business hours to accommodate global schedules. + Ability to travel up to 10%. + Executive presence and communication skills. **Additional Info:** + The location for this role is Dallas, TX. + This is a hybrid position requiring onsite attendance 4 days a week. + **Sponsorship is NOT available.** + Relocation is not available. **Education / Experience:** Bachelor's degree in a relevant field or equivalent experience. **Skills Descriptors:** + **Accuracy and Attention to Detail:** Understanding the necessity and value of accuracy, ability to complete tasks with high level of precision. + **Collaborating** : Knowledge of collaborative techniques in productive collaborative processes. + **Effective Communication:** Understanding the effective communication concepts, tools, and technique; ability to effectively transmit, receive, and accurately interpret ideas, information, and needs through the application of appropriate communication behaviors **.** + **Flexibility and Adaptability:** Knowledge of successful approaches and techniques for dealing with change; ability to adapt to a changing environment and be comfortable with change. + **Managing Multiple Priorities:** Knowledge of effective self-management practices; ability to manage multiple concurrent objectives, projects, groups, or activities, making effective judgement as to prioritizing and time allocation. + **Problem Solving:** Knowledge of approaches, tools, techniques for recognizing, anticipating, and resolving organizational, operational or process problems; ability to apply knowledge of problem solving appropriately to diverse situation. **What You Will Get:** + Our goal at Caterpillar is for you to have a rewarding career.
