In this role, you will provide general administrative support to the Projects team in the Edmonton office and advanced administrative support to the Directors of Core Programs, Pipelines and Core Programs Repeatable.

What You Will Do:
Distributes mail on floor delivered as a part of the normal mail runs, copying, collating, and ordering office supplies.
Schedule and arrange on-site and off-site meetings for departments. This may include assisting Manager and above with catering requests, assisting others with their own arrangements for catering for their individual meetings.
Manages the floor plan coordinating with Real Estate Services and advises on possible office moves for Projects groups on the floor. Submitting move requisitions and associated support for team members.
Train and provide orientation of new staff on policies and procedures, department setup and structure, intranet usage, Workday, SharePoint, Oracle, Markview, AMEX travel, AMEX policies and rollout of new programs. This also includes assisting leaders with office space and hardware requests as it relates to incoming or outgoing staff.
Provide focused support to directors including calendar management, booking travel, preparing and submitting expense reports, etc.
Attend and provide support at regular department meetings. Record and distribute minutes, reports, and records.
Create, edit presentations, spreadsheets, organizational charts, graphics, etc. using Microsoft Excel, Visio, and PowerPoint.
Who You Are:
High school diploma, or general education degree (GED), and/or Administrative certificate.
3 years of experience in the administrative field or related experience.
Must possess advanced skills in MS Office products (Word, Excel, and PowerPoint), Visio and Oracle Applications. SharePoint and OneDrive experience is an asset.
Effective verbal and written communications skills are important, along with the ability to work with confidential information.
Exceptional interpersonal skills, including ability to interact effectively with a wide variety of people.
Requires high level of initiative and organization skills, ability to work without supervision, and ability to prioritize assignments independently.
Working Condition:
Office environment.
Up to 5% travel.
