Administrative Assistant

The Administrative Assistant is responsible for managing various administrative tasks and providing support to ensure the smooth operations of the office. The role involves overseeing office administrative functions, reviewing/editing various correspondences, coordinating/tracking action items with government entities, maintaining records and databases, assisting with administrative procedures, and perform other duties as assigned.
**Responsibilities**
+ Oversee Office Administrative functions to include ordering, inventory, and distribution of office supplies.
+ Serve as the primary Activity Distribution Office (ADO) representative for mail and packages through the Government Official Mail Center.
+ Collaborate with the IT department to ensure the office's internet connectivity and computer systems are up to date.
+ Manage Project Manager’s calendar to include assisting in organizing inter-agency meetings, conferences, teleconferences, and video conferences.
+ Coordinate official visitor arrangements to include procuring base passes, if needed.
+ Review, edit and coordinate responses on various correspondences and appointment letters, ensuring accuracy, completeness, and adherence to guidelines.
+ Distribute and track action items with government entities.
+ Maintain office files and databases, including electronic data files.
+ Prepare scheduling paperwork for the random drug testing program.
+ Serve as the primary site POC for Costpoint timesheets, providing support to employees with their timesheets as needed and reviewing timesheets on a weekly basis.
+ Manage the order, inventory and issuing of company work uniforms.
+ Assists with the various Human Resource duties required at the project level.
+ Complete any other duties as assigned.
**Qualifications**
+ Must be a US Citizen.
+ 3 - 5 years of office administrative experience.
+ Proficiency in MS Word, Excel, Outlook, and PowerPoint.
+ Strong written and verbal communication.
+ Excellent writing, editing, and proofreading skills.
+ Ability to work independently, take initiative, and solve problems effectively.
+ Possess the ability to prioritize tasks and manage multiple responsibilities.
+ Must have an active DoD Secret Security clearance or higher.
**Desired Qualifications:**
+ Experience working in a government or military environment.
+ Familiarity with government correspondence and documentation procedures.
+ Knowledge of records management principles and practices.
+ Familiarity with payroll systems and experience with timesheet management.
