Administrative Assistant
Description Roseann Mabry with Robert Half Perm is partnering with an Engineering firm to hire an Administrative Assistant on a direct hire basis. This position is located in Downtown St. Louis where they pay your monthly parking. This full time position is onsite day to day putting together proposals. You will be working off a checklist. The Administrative Assistant will be coordinating all the documentation, reviewing and editing written communications for the projects and putting the final touches on the proposals. Duties will also include updating the website, creation of PowerPoint presentations, organization of marketing materials, updating SF330 forms, and creation of Excel spreadsheets with formulas. A background in engineering, architecture, or construction will put your resume ahead of others. Must have exceptional eye for details. That is critical for the success of the role. Responsibilities: • Coordinate and manage documentation for various projects • Review, edit, and finalize written communications for proposals • Regularly update the company website and marketing materials • Create and manage PowerPoint presentations • Update SF330 forms as required • Develop and maintain Excel spreadsheets with formulas • Answer inbound calls and provide exceptional customer service • Manage email correspondence with clients and stakeholders • Control and organize relevant documents • Contribute to client communications and maintain positive relationships • Assist in the preparation of bid proposals and government contracts. Requirements • Minimum of 5 years experience in an administrative role • Proven skills in answering inbound calls and providing exceptional customer service • Proficient in email correspondence, ensuring prompt and detail oriented communication • Mastery of Microsoft Suite including Excel, Outlook, PowerPoint, and Word • Experience in preparing bid proposals and handling government contracts • Strong document control skills to organize and maintain files and records • Demonstrated ability in client communications, preferably within the engineering industry • Knowledge of engineering terminology and processes is a plus TalentMatch® Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
