Administrative Assistant
Description We are offering a permanent employment opportunity for an Administrative Assistant in the construction industry, located in Columbia, South Carolina. As an Administrative Assistant, you will be tasked with managing various aspects of construction contracts throughout the project lifecycle. This will include ensuring compliance with legal agreements, overseeing contract documentation, processing payments, and effectively resolving disputes. Key Responsibilities + Answer phone calls, manage correspondence, and maintain calendars. + Schedule meetings, organize logistics, and prepare materials for project teams. + Act as the first point of contact for clients, vendors, and subcontractors. + Organize and maintain comprehensive project files, including permits, contracts, blueprints, RFIs (Requests for Information), and change orders. + Prepare and distribute project reports, tracking schedules, budgets, and progress updates. + Ensure proper archiving and retrieval of documents in compliance with company standards. + Monitor project schedules, ensuring deadlines and deliverables are met. + Assist with procurement, tracking purchase orders, and processing vendor invoices. + Coordinate team and subcontractor schedules for on-site meetings and inspections. + Process project-related invoices, expense reports, and payment applications. + Assist in monitoring budgets and flag discrepancies for timely resolution. + Maintain all compliance records, including insurance certificates, permits, and regulatory documentation. + Support safety initiatives by preparing logs and distributing safety-related materials. Requirements + Education: High school diploma or equivalent (Associate’s degree or certification in construction administration or a related field preferred). + Experience: Minimum of 2–3 years of experience in administrative roles, preferably in the construction or related industries. + Technical Skills: + Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, and Outlook) + Experience with construction management software (e.g., Procore, Bluebeam, or similar platforms) is a plus. + Communication Skills: Strong verbal and written communication skills. + Organizational Skills: Demonstrated ability to prioritize tasks, meet deadlines, and handle multiple projects simultaneously.
