We’re hiring an Administrative Assistant in Fayetteville, AR. This position supports all campaign activities, event budgets and logistics for all fundraising activities for the Northwest Arkansas (NWA) area, to include Heart Ball, NWA Sweethearts, Heart Walk, Go Red for Women, CycleNation, and other supporting events, including all Northwest Arkansas office activities. Work in parallel with office leadership (event leads & Executive Director. + Proactively provides logistical and administrative support for the market Board of Directors and board meetings. + Manages customer, volunteer, event and campaign information within databases and systems (E1, Dynamics, Greater Giving, Luminate, Event Gives, etc.) accurately, timely and in full compliance with established business standards and data guidelines. + Serves as Accounting Liaison which includes following all cash handling practices. Will also include mail opening, making deposits, processing credit card donations and overall campaign finance for the office/market. + Leads financial support for the market to include invoicing, collections, and contract uploads. In addition, monitors and tracks direct and indirect expenses for the fiscal year and end of year across events. + Assists in the overall timeline management, planning, implementation, and evaluation of night of event logistics. + Maintains calendars, schedules meetings and makes logistical arrangements necessary for internal and external meetings. + Works with event leads to achieve their overall look and feel of the events, helps with all design elements of the event; this includes the creation of print and digital marketing collateral – signage, invitations, etc. + Leads volunteer recruitment and management as they relate to event logistics and on-site volunteer management and determine the amount of volunteer support needed for each event. + Proactively provides administrative support to assigned staff; events; initiatives and/or overall office/market support. + Invests time and energy into learning the required skills of the position and keeping up to date on changes in the systems and the organization. Strive to become an expert in subject matter areas, quickly adopt best practices and help others in the organization as needed. + Other support duties as assigned. **Qualifications** + High school diploma or equivalent. + Up to 2 years of relevant experience. + Ability to travel locally on occasion, and work evenings and weekends when necessary for events. + Ability to lift and/or move large objects (such as boxes) with the expectation that heavier items would be broken down into smaller components or requesting additional assistance may be required before lifting and/or moving + Must have at least basic knowledge and skill/proficiency with Microsoft Office Here are some of the preferred experiences and skills we are seeking: + Ability to make decisions quickly and independently with little supervision. + Strong organization skills and detail oriented. + Skilled in effective oral and written communications including conversing by telephone, business writing with clear and concise narrative reports, evaluations and other narrative pieces. **Compensation & Benefits** The American Heart Association invests in its people.
