Summary:
We are seeking an Administrative Assistant to support the executives of a dynamic and fast-paced medical facility. The ideal candidate will possess exceptional organizational and communication skills to ensure seamless operations, effectively manage schedules, and foster a professional environment. This role requires discretion, the ability to prioritize, and a strong sense of initiative.
Key Responsibilities:
Executive Support:
+ Provide high-level administrative assistance to C-Suite executives, including scheduling meetings, coordinating travel, and managing correspondence
+ Prepare documents, presentations, and reports to support executive decision-making.
+ Maintain and organize sensitive and confidential information with discretion.
Calendar and Communication Management:
+ Manage complex executive calendars, scheduling internal and external meetings with precision.
+ Act as the primary point of contact between executives, internal teams, and external stakeholders.
+ Monitor and prioritize incoming communications, ensuring timely responses.
Meeting Coordination:
+ Plan and execute meetings, including preparing agendas, distributing materials, and recording minutes when required.
+ Coordinate off-site events, retreats, or board gatherings as needed.
Travel Arrangements:
+ Coordinate all aspects of executive travel, including booking flights, accommodations, and transportation.
+ Prepare travel itineraries and ensure all necessary documents are ready for trips.
Office and Operations Management:
+ Oversee and manage executive office operations, including maintaining supplies, technology coordination, and expense tracking.
+ Support the creation and maintenance of organizational systems to increase efficiency.
Special Projects:
+ Assist in executing ad hoc projects, including research, data analysis, and process improvement initiatives.
+ Help ensure organization-wide compliance with administrative policies and procedures.
Requirements
Preferred Qualifications:
+ Proven experience as an administrative assistant, especially in a healthcare or medical setting
+ Skilled in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software programs.
+ Strong ability to multitask and prioritize under tight deadlines.
+ Excellent verbal and written communication skills, with a keen attention to detail.
+ Ability to maintain a high level of professionalism and confidentiality while dealing with executive matters.
+ Familiarity with healthcare regulations and medical terminology is a plus.
