Reputable PE firm seeks a Temporary Administrative Assistant to support the Private Debt team in their new New York office. This role must be able to be in office 5 days per week but there is some hybrid flexibility. Hours are 8:30-5:30 w/ flexibility for OT.

Administrative Support

Provide executive-level administrative support to members of the Private Debt team.Candidate should have the ability to anticipate the team's needs/requirements and actively resolve issues.Calendar management requiring the coordination of numerous meetings, via conference call, Zoom, and in-person, including entering and maintaining internal and external appointments/meetingsCoordinate extensive domestic travel and international travelProcess expense reports using ConcurExecute various weekly internal reporting requirements and CRM data entryEmail managementOther general administrative duties such as filing, Federal Express mailings, updating contact lists, etc.Handle personal tasks on a limited basis

Organization and Coordination

Handle day-to-day administrative needs of the Private Debt teamRun and distribute the weekly reportingCoordinate calendars, meetings, and time demands with only broad directionRecognize urgent or time-sensitive requests and prioritizePerform a variety of other administrative duties that might include:Compose correspondence/email to convey relevant information with appropriate clarity and toneCreate documents, reports, presentations, and spreadsheetsOrganize on-site meetings (this will include reserving meeting rooms and meeting/catering set-up)Prepare and route agendas and other meeting-related materialsOrganizing files, printing files, mailing, scanning, photocopying, data entry, etc.

Requirements:

2-3+ years of previous administrative experienceBachelor's degree preferredStrong MS Word, Excel, Outlook, PowerPoint and writing skillsAbility to multi-task and juggle multiple tasks at onceMUST be team-oriented and extremely detail orientedExcellent organizational skills and a professional, proactive attitudeMust be detail-oriented, able to multitask and manage competing prioritiesFlexible to handle both routine and urgent issues that might arise outside of normal office hoursExtremely well organized and able to assist others in bringing order to complex issues and situationsStrong interpersonal skills and the ability to connect with peopleExcellent verbal and written communication skillsManage confidential and sensitive information using appropriate discretionAble to personally manage change and adapt work style/processes in response to the dynamic nature of the organizationCan manage multiple tasks in an environment of tight deadlines and high-quality standardsAble to operate autonomously and collaboratively

Compensation:
