Administrative Assistant

This position provides administrative support to the General Manager and the site team, including creating and updating forms and spreadsheets, and organizing meetings. Greet and manage walk-in traffic and answer phone calls, representing the company in a professional manner.
KEY DUTIES AND RESPONSIBILITIES
* Create and update Excel spreadsheets and other documents as required
* File confidential and other departmental documents
* Greet and assist employees, customers, visitors, and vendors
* Assist with coordination of events with the ESA committee
* Monitor security screens and analyze recordings as needed
* Maintains proper inventory of PPE for the front office area and places orders with the safety team and purchasing for replacement items
* Serves as designated backup to the purchasing manager
* Supports projects across the senior manager group as requested
* Assist with approved travel arrangements, following appropriate company travel policies for guests. Visitors, and or potential job candidates
* Proofreads departmental documents as needed
* Manages various office needs, such as mail and deliveries, assists visitors, properly direct phone inquiries, and ensures the office area is professionally maintained
* Coordinates company meetings
* Ensures substitute receptionist is properly trained
* Prepares and distributes reports
* Updates communication boards
* Ensures visitors and vendors follow safety, PPE, and other plant procedures
* Performs other duties as assigned
QUALIFICATIONS
* Must be able to perform job duties with minimal supervision
* Must be able to communicate effectively with others at all levels of the organization
* Excellent attendance is a must
* Must be proficient with Microsoft Office suite
* Ability to maintain a professional demeanor at all times
* Must be able to perform the essential functions of this job with or without reasonable accommodations
EDUCATION
* 2 years of professional or administrative experience required
