Job Title – Administrative Assistant
Pay Rate – $20/hour
Location: Harrisburg, PA 17110
Shift: 8AM-5PM Monday-Friday
Job Description Essential Duties and Responsibilities
Job Summary
We are seeking a detail-oriented, organized, and proactive Administrative Assistant to join our team. In this role, you will play a key part in supporting our daily operations by performing a wide range of administrative tasks and ensuring the team operates efficiently. Key Responsibilities Answer and direct phone calls, take messages, and provide customer support. Maintain records and coordinate office and fleet-related logistics, including vehicle repairs and maintenance. Perform general administrative duties, such as filing, data entry, and preparing documents. Upload data into project management systems and ensure accuracy. Assist in preparing project documentation, including submittals and closeouts for commercial projects. Record, distribute, and manage meeting notes to keep the team organized. Schedule appointments and manage calendars for staff members. Assist in planning events and coordinating meeting logistics. Monitor office supply levels and manage inventory orders to ensure smooth operations. Support order entry and inventory management activities. Maintain confidentiality of sensitive information and ensure accurate record-keeping. Take on additional responsibilities as needed to support the team and organizational success. Required Skills & Qualifications Problem-Solving: Ability to efficiently locate and synthesize information. Organizational Skills: Excellent ability to prioritize and manage multiple tasks in a fast-paced environment. Technology Proficiency: Strong skills in Microsoft Office Suite (Word, Excel, Outlook). Communication Skills: Professional phone etiquette and exceptional customer service abilities. Attention to Detail: High level of accuracy in data entry and document preparation. Team Collaboration: Comfortable working independently and as part of a team. Calendar Management: Experience in scheduling and managing appointments is a plus.
