Administrative Assistant

Arcadis is seeking a Administrative Assistant to join our Places Infrastructure team in the Los Angeles, CA area.

Role description:

As the Administrative Assistant you will research existing contract processes within PW.  They will also research other public agencies who currently have centralized contracting, prepare a report and summarize the findings.  The Admin Assistant will also provide recommendations on how PW can obtain a centralized contracting unit within PW.

Role accountabilities:

Provides administrative support to ensure efficient office operations.  Handles administrative requests and queries from senior managers and division staff. Heavy proofreading and processing of general correspondence, such as letters, memos, reports, and Board letters.  Checks correspondence submitted for supervisor's attention to ascertain that all relevant data, files, signatures, etc., are accurate and included.   Develops and maintains physical and digital filing systems. Schedules meetings, prepares meeting agendas, takes minutes, arranges conferences, and maintains conference room schedules.   Gathers data independently and by contacting employees, other divisions, and/or agencies for general information and/or to prepare reports or presentations.  Develops charts, graphs, workflow diagrams, and other visual aids as necessary. Supervises other staff and delegates responsibilities. Maintains appropriate document control logs by entering information as to type of documents, dates received/transmitted, and file location.  Handles technical issues within their area of expertise.
 

Qualifications & Experience:

A minimum of 3 years of contracting experience and knowledge of public agency contracting processes. Must be proficient in Microsoft Office (Outlook, Excel, Word, PowerPoint)  Minimum of five years of administrative work experience.  Typing rate: 40 net words per minute.

Actual salaries will vary and are based on several factors, such as experience, education, budget, internal equity, project and location.
