Job Title: Administrative Assistant
Job Description

We are seeking a dedicated Administrative Assistant to join our team. The ideal candidate will be responsible for evaluating inventory, product flow, and developing process improvements. You will manage daily and period-end reconciliations, coordinate scheduling and release of work orders, and assist in production planning. Additionally, you will handle administrative tasks such as answering calls, greeting visitors, maintaining office supplies, and performing general office duties.

ResponsibilitiesEvaluate existing inventory and product flow, and develop process improvements.Implement performance measurements for information and product flow.Manage daily and period-end reconciliation in System 21.Coordinate and direct scheduling and release of work orders.Supervise daily production recording activities for timely order fulfillment.Enter completed work orders in System 21.Assist Plant Managers with production planning based on sales orders and delivery dates.Investigate and reconcile inventory inaccuracies such as cost variances or physical discrepancies.Manage purchase orders and ensure timely invoice payments.Track and report monthly budgets for multiple departments.Answer incoming calls, direct them appropriately, and greet visitors warmly.Distribute safety equipment and coordinate completion of employment applications.Perform general administrative tasks including filing, faxing, maintaining inventory of printer cartridges, coordinating office machine maintenance, preparing presentations, and running errands.Essential SkillsProficiency in data entry.Experience with purchase orders and work orders.Knowledge of reconciliation of inventory.Strong administrative assistance and support skills.Customer service orientation.Proficiency in Microsoft Office, including Outlook and Excel.Excellent clerical and filing skills.Strong computer skills, including email and logistics management.Experience with ERP systems and process improvement tools.Strong project management, interpersonal, and analytical skills.Excellent knowledge of computer business systems and their applications.Additional Skills & QualificationsExperience in AP/AR, shipping/receiving, or payroll.Strong office support skills.Work Environment

The position is based in a plant office, located in a well-lighted area. The work environment is subject to distractions from office machines, other employees, outside callers, and visitors. The role requires occasional trips into the production area. The standard work hours are Monday to Friday, from 7:30 AM to 4:30 PM.

Pay and Benefits

The pay range for this position is $25.00 - $26.00/hr.
