JOB SUMMARY
The Administrative Assistant provides clerical support to leaders and managers as directed. Responsibilities include constant screening of calls and receiving in-person visitors, preparing reports, drafting correspondence, taking meeting minutes, creating agendas, maintaining calendars, creating forms, arranging appointments, maintaining files, and performing other projects as assigned. This position will typically use all programs in MS Office suite, multiline phone systems, and general office / business equipment.
PRINCIPLE FUNCTIONS include the following, other duties may be assigned:
Prepares letters, memos, spreadsheets, reports and other documents as directed. Arranges meetings, calendars and agendas for leadership as assigned. Provide reception and assistance for visitors to department and triage for level of importance / urgency. Answer and dispatch calls to appropriate persons to ensure timely relay for callers. Records and prepares meetings minutes as directed. Processes incoming internal / external mail as directed. Maintains office equipment as directed and contacts vendors for repair as needed.JOB KNOWLEDGE & QUALIFICATIONS
Education
High school diploma or equivalent required. College course work in business or finance preferred.
Training and Experience
Minimum two (2) years advance secretarial / administrative assistant experience providing support to executive team. Must have experience taking meeting minutes. Familiarity with use of general office equipment such as phones, copiers, printers and facsimile machines.
