Administrative Assistant / Accounts Payable
Aon is looking for an Administrative Assistant / Accounts Payable in Burlington, VT Aon’s Captive & Insurance Management (“ACIM”) is looking to add an Administrative Assistant / Accounts Payable to our dynamic team in Burlington, VT. You will report directly to the Administrative Manager. This is an in-office position due to required internal controls and handling of documents but we offer flexible working schedules dependent on business needs. This is a role required to sit on-site from our Burlington, VT office. What the day will look like Your day-to-day would include providing support to a portfolio of the accounts for all ACIM US offices, including the review and preparation of check request documents, creating and updating excel tracking documentation, while following internal control procedures as dictated by Aon’s internal compliance. Be responsible for the Accounts Payable process for 85+ entities led by Aon within the US, including printing of checks, obtaining appropriate signatures, scanning and mailing of checks. Document creation and editing in Microsoft Word, Excel and PowerPoint consistent with Aon’s brand standards including proofing and production (ex: training materials, office policy and procedures, client board materials, etc.). Apply creative and proactive approach to provide high level of customer service and assistance to client teams, and fellow co-workers both inside and outside of immediate team. Connect with individuals inside and outside the company such as regulators, customers, and leadership. Assist and/or be responsible for ordering of supplies and equipment as requested and approved. Actively support other administrative assistants and provide and receive mentoring, coaching, and/or training as needed. Assist with coordinating staffing events and activities (virtually or live). Assist with other responsibilities as requested. Skills and experience that will lead to success Possess 3+ years or more of accounts payable and/or administrative support with growing responsibilities. Excellent organization skills, strong attention to detail, and the ability to reprioritize tasks/responsibilities. Ability to communicate effectively with others (written and oral), including excellent writing/proofreading skills including grammar, punctuation, spelling, and general editing. Advanced computer skills required (Microsoft Office: PowerPoint, Word, Excel, Outlook, as well as internet browsers and Adobe). Demonstrated ability to identify areas requiring increased productivity and improve methods and approaches with manager’s guidance. Outstanding work ethic with the ability to occasionally work outside of normal business hours. Ability to work with sensitive information and maintain confidentiality along with internal controls. Demonstrated “can do”, and “happy to assist”, proactive and creative style, with a high level of integrity. Aware of own strengths and weaknesses, building on the former and addressing the latter, with manager guidance. Contribute to a collaborative, innovative, and forward-thinking office. Education Bachelor’s degree or equivalent years of proven experience. Pay Transparency Laws: The salary range for this position (intended for U.S. applicants) is $45,000 to $56,000 annually. The actual salary will vary based on applicant’s education, experience, skills, and abilities, as well as internal equity and alignment with market data.
