ADMINISTRATIVE ASSISTANT – CHEVRON COGENERATING PLANT
Job Summary
This position is responsible for providing administrative support to the employees at Chevron Cogenerating Plant.
Job duties & responsibilities may include, but are not limited to:
Deliver computer, data, and documentation support with proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint, Teams, etc.) to assist in maintaining databases and creating reports, presentations, compliance documentation, and more. Schedule and coordinate logistics for meetings and plant-wide events. Manage conference room calendars Maintain calendars for the Plant Manager and staff as needed. Administer record retention program ensuring proper adherence to the schedule and proper upkeep of the file room. Generate and distribute the monthly generation report in a timely manner. Provide administrative support for the Safety and Wellness Committee, including creating, maintaining, and distributing documentation of safety meetings. Manage Chevron refinery badge requests for all MPC employees. Perform timekeeping and process employee expense reports for covered and non-covered personnel (PaySource & iExpense Oracle Cloud) Coordinate travel arrangements Purchase departmental and plant gift cards, safety gifts, and coordinate service awards and retirement events Prepare weekly on-call schedule Perform additional duties as needed
Job Experience and Education
One-year administrative experience is required, two years is preferred (including conference, travel and meeting arrangements, report preparation and calendar management) Experience with timekeeping systems is required Oracle or other people management software experience and some Maximo experience is preferred. Accounts Payable experience is preferred Experience working with union employees in a plant environment is highly desirable Extensive computer experience with proficiency in Microsoft Office applications is requiredKnowledge, Skills and Abilities
Ability to be flexible, organize, prioritize and perform multiple/diverse activities with minimum supervision Ability to make administrative/procedural decisions using sound, seasoned judgment Effective written and verbal communication skills Advanced proficiency in Microsoft Office products Must manage sensitive information and maintain confidentiality Self-starter; work with minimal supervision Skilled in organizing resources and establishing priorities; attain deadlines Analytical skills

Other Requirements
Be available to work before or after regular working hours and weekends if needed Must be available to work “Storm” restoration duty which could include office support during evenings/weekends/holidays
