Administrative Assistant - clearance required
The Administrative Assistant position is a supporting role within the buildings team, reporting to the Administration Staff Manager. The position is highly collaborative and requires active communication with team members and the larger administrative community at Jacobs. In this role you will join a dedicated professional team working to make a difference for our Federal Government Clients. The support you provide will be critical to team success and welcomed by the Arlington team members. Responsibilities: • Pro-active engagement with team members to understand needs and schedules for fast-paced project delivery. • Electronic and physical document management, including filing, copying, scanning and tracking documents entering and leaving the system. • Support of technical personnel by scanning and filing field documents. • Manage an Outlook calendar highlighting and updating project milestones. • Support printed deliverables by managing copying, binding, boxing, shipping, and tracking physical documents. • Manage office supplies and order items as requested by the team. • Assist with overseas travel agendas. o Make itineraries and flight arrangements and coordinate Visas o Research local conditions and help the team understand local weather or safety concerns The role requires a high level of organization to support deadlines and keep track of requests. The Arlington Team will work with you to set priorities, answer questions and support your success. • United States Citizenship with Secret Level security clearance • At least two years of college-level coursework or equivalent  • At least 5 years of administrative experience   • Exposure and willingness to further learn Word, Excel, Outlook, PowerPoint & Teams The position requires being at our office typically three days each week (Tuesday, Wednesday, and Thursday) with remote work on Mondays and Fridays. Days may change during the weeks when we are printing documents for delivery to clients. This is a full-time position (40 hours weekly) with paid time off, health benefits, and a 401k.
