Administrative Assistant (Construction)

Qualifications:

A graduate of any 4-year course Work experience as a Administrative Assistant is an advantage Work experience in a construction company is an advantage

Job Description:

1. Answer the phones, take messages or refer calls to the appropriate team member.

2. Schedule appointments and update event calendars; Arrange meetings and coordinate conference room schedules; Set up meeting space, assemble requirements and receive meeting attendees; Prepare minutes or summaries for meetings attended.  

3. Handle all incoming and outgoing correspondence; Maintain email lists and distribute information to staff.  

4. Review all outgoing correspondence for grammar, correctness and completeness, and ensure that the appropriate material is attached. Prepare memos or reports.  

5. Make travel bookings and prepare travel expense reports.

6. Assist in petty cash safekeeping and monitoring. Prepare the corresponding report.

7. Design, implement and maintain filing systems, both electronic and paper. Search for and compile requested material from the databases.

8. Coordinate with other support departments for group’s collective needs i.e. IT, HR, GSD.

9. Track office supplies and order placements. Ensure sufficient stock of the department’s needs at all times. Monitor the group’s budget for office supplies.

10. Assist in the trainings conducted for the group.

11. Miscellaneous work activities that may be assigned from time to time.
