Summary of Work Activities and Responsibilities:
Under the direct supervision of the Assistant to the Associate Dean, the Administrative Assistant for Academic Affairs supports the conduct or roll-out of the academic activities.
Main Duties and Responsibilities:
Administrative Support Functions
Responds to faculty and student inquiries on academic matters from various communication channels.
Receives, processes, and monitors completion of the academic-related requests filed with the Office of the Associate Dean (OAD) such as filings of withdrawals, leaves, change of grades, curriculum certifications, and the like.
Assists in meetings, programs, and events of the OAD, if needed (e.g., venues, food, and resources needed).
Takes minutes of the meeting of the OAD and the Associate Dean’s Council, as needed
Support to Academic Affairs
Documentation and Reports
Gather, collate, and analyze data pertaining to the roll-out of the academic activities of the school such as but not limited to teaching-learning activities, contact time, and learning time.
Assists in the collation of data and documents pertinent to curriculum updating for review by the Associate Dean’s Council and the Dean before submission to CHED.
Subject Experts
Handles logistical preparations for the regular meeting of the Subject Experts and their respective appointed faculty per year level.
Prepares materials and documents meetings of the Subject Experts.
Maintains/files the pertinent documents of the Subject Experts.
Faculty Support
Assists in maximizing the features of Canvas as a Learning Management Tool.
Assists in ensuring that the Canvas Gradebook is codified and updated to be able to provide almost real-time feedback to students of their academic standing.
Assists in maximizing Google Workspace and suggested add-on applications for teaching and assessment activities.
Records Management
Maintains the records management system of all academic-related documents.
Collates and summarizes the various reports of the Academic Cluster (i.e., End-of-Module/Rotation, YL & Cluster Year-End, Students;) for monitoring of the typology of teaching-learning activities
Collates and summarizes the types of teaching-learning activities employed in the Adaptive Design for Learning and related asynchronous learning for all year levels.
Prepares and manages the official Google Forms of the office necessary for all academic processes.
