The **Administrative Assistant** is located within the Linam Ranch Plant. The Administrative Assistant will have shared responsibilities between the Maintenance, Construction, Front Desk, and other Field workgroups. The candidate should be a detailed-oriented, proactive individual with a positive attitude and possess the capability to implement Administration procedures at the Front Desk. This role requires excellent communication skills, computer skills, sound judgment and will report to multiple supervisors.
+ Maintain Line Leak reporting Excel workbook
+ Entries of Line abandonments, Idol Line and new connects into GIS system
+ Communicate with outside environment remediation group for line leak cleanups
+ Set up monthly meetings with third party environmental group (Tasman) to discuss open line remediations to verify status and closure timeline
+ Conduct weekly Pipeline line leak meeting to set priorities for repairs. Document priorities and set schedule for week ahead
+ Evaluate pipeline leaks, determine lateral lines to be idled. Utilize field maps to verify
+ Research and Initiate Form 46 (Idle and Abandonment of pipelines)
+ Create DocuSign Form 46 forms for signatures for Idles and Line Abandonments
+ Maintaining files for Pipeline Abandonments, Idol Lines and New Meter connects
+ Writing PO’s and change orders in SAP
+ Creating notifications and work orders in SAP for M1 and M3 Work Orders
+ Work vouchers that need addressed for Maintenance & Construction group
+ Create Work Orders for M1 and M3 notifications
+ Support Maintenance & Construction group
+ Support additional admin duties as assigned
+ Performing a wide range of administrative duties in a professional and courteous manner
+ Professionally handle sensitive and confidential information and will maintain confidentiality under all circumstances
+ Interacting with internal staff in a professional manner and understand the basic organizational structure and roles within the department and company
+ Interacting professionally with external business contacts, reliably answering & returning phone calls, escorting visitors, and understanding basic roles of the staff groups so callers can be referred to the right people
+ Creating, revising, analyzing, proofreading, and distributing various types of documents, presentations, and spreadsheets (Microsoft Excel, Word, PowerPoint, Outlook)
+ Preparing monthly and quarterly reports, as required (i.e., safety, expenses, compliance, audits)
+ Managing and prioritize email and calendar for lead manager
+ Scheduling conferences, arrange and set up conference rooms, arrange meals, and attend to needs of outside visitors
+ Creating, managing, and maintaining various SharePoint, Livelink and Intranet sites
+ Making travel arrangements, prepare itineraries, prepare travel visa applications, and manage calendars
+ Manage Geo-Tab issues for Maintenance & Construction Truck fleet
+ Manage registration for Maintenance & Construction fleet vehicles and equipment
+ Managing office supply inventory and order supplies as needed and within budget
+ Distributing mail and arrange shipment of packages
+ Working in web-based software applications
+ Assisting with setup of new employee office/phone/IT equipment/orientation and assist existing employees with similar needs
+ Advanced level of communication skills, both verbal and written
+ Ability to prioritize, multi-task and follow-up in a multi-faceted work environment, including managing unplanned/critical tasks at the same time
+ Excellent interpersonal and organizational skills and ability to communicate effectively as this job requires frequent interface with all levels of management
+ Highly effective time-management skills; delivers results on-time with high quality standards.
+ Strong work ethic takes initiative to take on and learn new tasks, high energy level
+ Other duties as assigned
+ Provide support for other Maintenance & Construction supervisors as needed
**Required Qualifications:**
+ Legally authorized to work in the job posting country
+ High School Diploma or GED equivalent
+ Intermediate proficiency level with Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
+ Willing and able, with or without reasonable accommodation, to lift boxes up to 25lbs
**Preferred Qualifications:**
+ 1 or more years of administrative service experience
+ Advanced proficiency level with Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
+ SAP skills and experience
+ SharePoint and Livelink skills and experience
+ Strong interpersonal written and communication skills
+ Demonstrate a high level of initiative and results driven effort
+ Ability to manage multiple tasks and priorities concurrently
+ Ability to work in varied computer systems
+ Ability to pay close attention to details
+ Take ownership and deliver quality results
+ Work well in a team environment

**Midstream**
Phillips 66's Midstream business is a safe, reliable and trusted logistics provider for the movement and storage of liquid or gas energy via pipelines or terminals.
