Summary: The Administrative Assistant primarily supports Vice Presidents and their teams in the Denver office. The Administrative Assistant will serve as project manager, as directed by their perspective VP’s, including owning timelines, running meetings, and key deliverables. This position may be privy to sensitive information and must professionally handle sensitive and confidential information.
Requirements: Coordinates and arranges travel itineraries and arrangements for air and ground transportation, lodging, visa arrangements, and other travel needs. Must be able to plan complex itineraries and expedite last-minute changes, sometimes after regular business hours. Travel includes frequent international trips.Schedules and coordinates meeting space and logistics for various meetings, including executive meetings, board meetings, external visitors, candidate visits/interviews, and trainings.Prepares agendas, organizes staff and committee meetings both on & off-site, prepares presentations and reports, and coordinates IT support.Coordinates and orders food for department meetings and trainings. Completes expense reports on time, ensuring accuracy and compliance with company spending policies.Drafts/prepares memorandums, correspondence, agenda materials, and other documents varying in sensitivity and confidentiality.Proofreads and checks documents for accuracy, completeness, and compliance with Company standards.Maintains and organizes files both electronically and in hard copy form.Acts as liaison between executive and clients, company leadership, staff, and the public.Assist VPs with invoices, requisitions, timesheets, expense reports, and any escalations that need re-routing.Backs up the Office Administration staff in vendor management, safety procedure compliance, and ordering of office supplies. Processes all incoming mail and distribution to departments when backing up the office administrator.Assists with the onboarding process of new employees by performing desk setups, and issuing and acting as a resource for questions as needed. Attends work regularly and punctually, as scheduled or expected.Complies with Employee Handbook, Code of Conduct, and Company Policies & Procedures.Additional Responsibilities:Presents, supports, and leads-by-example with a safety and quality-oriented attitude.Manages multiple Outlook calendars for external and internal meetings that may be adjusted and rescheduled on short notice to accommodate required participants.Responds to a wide variety of requests proactively with expeditious action and a positive, consultative approach.Provides coverage for other Executive Assistants.Prepares and sends shipments of documentation via FedEx, USPS, UPS, or other means.Order supplies for specific department needs.Some after-hours availability via email or mobile phone may be required. Qualifications: High School Diploma/GED required.Bachelor’s degree in business or a related discipline preferred.4 or more years of related experience with supporting executive-level staff and balancing multiple projects required.Ability to travel domestically 5 to 15% required.Advanced skills in Microsoft Office applications, including Word, Excel, and PowerPoint. Skilled in reading, analyzing, and interpreting general business information, writing reports, and business correspondence.Experience in proofreading, editing, organization, and calendar management.Capable of handling details, access to information, and conversations of a sensitive nature with confidentiality.Comfortable operating with significant latitude for independent judgment and initiative within agreed limits.Ability to solve practical problems and deal with various concrete variables in situations with limited standardization.Capacity to handle tight deadlines and last-minute changes, adapt quickly, anticipate needs, and problem-solve independently. Also takes feedback and incorporates it.Online SharePoint design and project management experience.SharePoint administration experience: collect inputs, create web page content, web page maintenance.Functional competencies include agility, accountability, communication, attention to detail, and prioritization.Anticipated base salary range: $20.79 - $24.46 The final agreed upon compensation is based on individual education, qualifications, experience, and work location.
