Airswift is looking for an Administrative Assistant to support a major client on a 1-year contract in Anchorage, Alaska
Provide comprehensive administrative and operational support to senior management and field operations, ensuring seamless execution of daily operations, effective communication, and adherence to company policies and procedures.
Responsibilities:
Assist the President, Chief Geoscientist, Chief Reservoir Engineer, Area Operations Manager, Production Superintendent, or Production Foreman in coordinating meetings, preparing agendas, and managing daily departmental operations.
Obtain, coordinate, format, input, and distribute morning reports while assisting with daily operations, including managing communications with field operators, contractors, Coast Guard, air support, landowners, and other entities.
Support engineers in retrieving technical data, such as schematics, tubing details, and compressor information, and assist in preparing quarterly production reports.
Input and obtain information from the Oilfield Manager Program, including well histories, research data, and graph generation, for inclusion in monthly forecasts and weekly budget reports.
Monitor and maintain records for Authorization for Expenditures (AFE), purchase order tracking, bid collection, and other procurement processes.
Coordinate the regional employee suggestion program and assist with new hire orientation, including time sheet collection, benefits coordination, vacation tracking, and general HR policies.
Collaborate with environmental and safety staff, relaying information regarding work assignments, inspections, problems, and training coordination.
Maintain the Flow Line Test Book and manage the issuance, tracking, and maintenance of personal communication devices, such as pagers and wireless phones.
Oversee and update company vehicle records for the assigned region and maintain production well file records, including well records, wireline tickets, well diagrams, SWD tests, chemical programs, and compliance with regulatory requirements.
Respond to and direct telephone calls from staff, the public, and external vendors as appropriate.
Assist in coordinating special projects and streamlining communications between senior executives and asset team leaders.
Provide backup and overflow support for other administrative assistants as needed.
Maintain confidentiality of sensitive information and protect the company’s intellectual property.
Perform additional duties as assigned by management.
Requirements:
Minimum of one year of administrative assistant experience, preferably in the oil and gas industry.
Strong problem-solving skills and proficiency in data management.
Ability to establish and maintain effective relationships across all levels of the organization and with external parties.
Excellent written and verbal communication skills, with a high level of attention to detail.
Proficiency in Microsoft Office (Excel, Word, Outlook).
Ability to perform tasks and achieve results with a high degree of accuracy and precision.
Outstanding organizational skills with the ability to manage diverse tasks with differing priorities.
Required: High School diploma or GED.
Preferred: Some college coursework in business or a related field.
