Posting Number NONAC3456 Job Title Administrative Assistant II Position Title Administrative Assistant II Position Type Non-Faculty Number of vacancies 1 Salary Commensurate with experience Department Psychiatry Position Summary The Department of Psychiatry is seeking a dynamic Administrative Assistant to join their team. Under general supervision, the Administrative Assistant will provide professional-level administrative support of a highly responsible and confidential nature to ensure daily department operations and functions are performed in an efficient and effective manner.
Minimum Qualifications Education: Associate’s Degree; Bachelor’s Degree preferred. In lieu of educational requirements, experience may be substituted on a year for year basis. Degree must be from a regionally accredited college or university.
Experience: Minimum of two (2) years of related experience. Must type 50 WPM. Must be proficient in Microsoft Office Suite.
Detailed Skills: Knowledge of office management and administrative principles, practices and methods and ability to maintain an organized work environment Knowledge of institutional and departmental policies, procedures, and regulations Demonstrated communication skills and telephone etiquette Strong knowledge of computer technology including expertise in MS Word, PowerPoint, and Outlook, and intermediate-level efficiency using Excel and Publisher Skill in communicating and interacting effectively with faculty, staff, students, residents, and other professionals; Possess excellent oral, written, interpersonal, organizational, and time-management skills Skill in working independently to compose correspondence, often confidential in nature, including letters, memos, presentations, and reports Ability to establish and evaluate effective working relationships with various levels of professional staff personnel. Ability to transcribe and disseminate meeting minutes, reports, and agendas. Ability to organize work effectively and efficiently; Skill in using independent judgment for routine situations Ability to multi-task and provide professional administrative support wherever needed, i.e. residency, medical education, course directors, clinical supervisors, etc. Ability to independently compose correspondence, often confidential in nature, including letters, memos, presentations, and reports. Initiate and follow up on Travel requests, requisitions, orders, and purchases. Monitor and track budget expenditures Maintain office supplies and equipment and obtain vendor quotes as needed. Maintain the department internal SharePoint site and serve as point of contact for the MSM department website; Create and distribute department newsletter. Coordinate and organize department activities such as meetings and special events; Efficiently coordinate department calendar activities. Provide backup support for faculty activities; Provide administrative support for budgetary related projects. Support and organize staff meetings to include preparing the agenda, sending out notifications, and taking and transcribing minutes. Compose routine and complex correspondence, often confidential in nature, including memos, letters, PowerPoint presentations, etc. with a high degree of accuracy.

Immunization Immunization Requirements It is MSM’s Immunization policy that all Prospective Employees are required to provide proof that they are vaccinated against COVID-19 prior to commencement of employment. If employment will commence during Flu Season, MSM requires all individuals to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless granted an exemption. Failure to provide proof of vaccination for any required vaccines or obtain an exemption from MSM will result in rescission of a candidate’s offer of employment or disciplinary action up to and including termination.
