MISSION / SUMMARY:

General responsibilities of an Administrative Assistant II include handling tasks and administrative duties, such as meeting planning/coordination, engaging with customers/clients, data entry, processing invoices, completing travel & expense reports, file management, ordering supplies and various other supporting tasks.

 

JOB FUNCTIONS: Job functions include but are not limited to the following.

DELIVERABLES

Travel & Expense Reports Meeting Planning & Coordination (Scheduling, Audio & visual, and meals) Material Preparation & Printing (Letters, PowerPoints, etc.) Processing invoices/ Check Requests and New Vendor Setup Paper File and Digital Data management (Filing paperwork, uploading contracts to CMS, etc.) Other projects/work as assigned

 

BACKGROUND / EXPERIENCE:

Demonstrated experience as a proactive partner in an in-office work environment Notary Public certification or must be able obtain within 60 days of employment

 

EDUCATION / KNOWLEDGE:

Four-year degree preferred or equivalent combination of education and experience. Compensatory closely related work experience required in lieu of degree.

 

SKILLS:

Office support and coordination Microsoft O365 Suite (MS Team, PowerPoint, Word, Excel, and Outlook) meeting and/or event planning Must be skilled at multi-tasking Proactively develop solutions Deliver timely results

 

SCHEDULE DEMANDS:

General schedule is 8-hours M-F for the first 60 days. Following the first 60 days, will discuss an alternate work schedule with the options of working Tuesday - Thursday in office, and Monday and Friday being work from home days as agreed upon by your manager and in consideration of the business/operation needs. Must be flexible in working alternate schedules as needed.  

 

PHYSICAL DEMANDS:

Sitting or standing for extended periods of time up to 8-hours. Occasional Lifting up to 20 lbs. Reading computer screen or other electronic devices. Use of various office hand and electrical tools or equipment.

Pay Range:   $53,235.00 - $66,570.00
