What you will do:

Provide Support to Arrowhead office staff, Area Manager and Supervisors as needed, and specific support to Area Operations Teams in Stanley and Williston, as well as the Technical Services Team, while providing backup support to Minot Area Operations and PLM teams.

Minute/action item recording for departmental meetings, photocopying, courier packages in and out, off-site filing and tracking, catering, ordering office and kitchen supplies; and work with other requests from staff/contractors and visitors to the department.

Working with Area Manager to coordinate all ND Area and some Ops area of support team building activities, and large on-site/off-site department functions.

Liaise with other Region Admins for consistency/back-up, and on other projects as requested or required.

Provide support with expenses, travel booking and management, and department calendars for areas of support.

Provide administrative support for recruitment activities; assisting in providing on-boarding/off-boarding support to new hires while coordinating with HR and hiring leaders; and acting as liaison between HR and management and Supervisors when required.

Assist leaders in providing orientation of new staff (employees, contractors/co-op students), and providing locations and information for viewing policies and procedures, department setup and structure, ELink usage, WorkDay, SharePoint, Oracle, Markview, travel and credit card policies.  Assist in training employees on accounting and coding needs in conjunction and collaboration with Area accountants.

Winpack Administrator – Arrowhead office security administrator (create/maintain security groups and access levels and key cards); creation/maintenance of security access cards, to include retrieval of security camera data. Holder of the ND Area Key logs and administrator of keys and needs including tracking, auditing, and handout and collection when needed.

Responsible for invoice Coding and Minor Operating Budget maintenance as requested.

Assisting in creation of PO’s/WO’s for Area purchasing and requisition needs.

Maintain office equipment and material orders.  Work closely with IT dept. to ensure office copiers and IT equipment are maintained and working properly.

Administrator of JJ Keller and commercial motor vehicle needs for ND tied to paperwork and working with Fleet Services team as needed on all vehicle related tracking and transactions including donations or auctioning of old units.

Support and work with Areas relating to OQ paperwork and tracking and submission to proper depts. Working as requested tied to training and training dept. needs or requests and block training meals etc.

Collecting and submitting accurate contractor hours to safety dept. periodically and as directed by safety team.

Assist as required in emergency response situations including documentation unit in ICS.

Who You Are:

You have the following education & experience:

A High School diploma with at least two years of experience in progressively responsible secretarial and administrative support roles, preferably supplemented by continuing education courses.

Ability to multitask with attention to detail.

Positive attitude with a high level of professionalism and ability to collaborate well with others.

Exceptional interpersonal, organizational and communication skills.

Preferred:

 A university degree is desirable. 

Proven proficiency in Oracle Financial Applications, SharePoint, and Workday applications.

Desire to continuously learn, with the initiative to take on evolving and more challenging tasks.

Strong computer skills are required with proven proficiency in all MS Office Products and Visio Software.
