ADMINISTRATIVE ASSISTANT II

Salary Grade             :    8 (P18,251.00)

Division                     :    Finance and Administrative Division, Budget and Cash Unit

Reports to                 :    Budget Officer and Cashier

CSC PRESCRIBED QUALIFICATION STANDARDS

Education          : Completion of two (2) years studies in college

Training             : 4 hours of relevant training

Experience        : 1 year of relevant experience

Eligibility            : Career Service Sub-Professional/1st level eligibility

PREFFERED QUALIFICATIONS

Education          : Three (3) years studies in college or graduate of any (4) year course in college

Training             : Four (4) hours training on Budget and Treasury Management System (BTMS)

Experience        : One (1) year of relevant experience (work experience in any Budgeting/Cashiering facets i.e. Record data in the registry of allotments and obligation/post in the E-NGAS, organize disbursements in folder, liaisoning to servicing banks/oversight agencies, act as unit document control officer, among others)

JOB SUMMARY

The Administrative Assistant II performs clerical functions in the Budget/Cash unit. He/she is expected to assist the Administrative Officer V and Administrative Officer II in the issuance of official receipts and preparation of report of collection and monthly accountability.

 PRIMARY TASKS:

1.   Assist the Budget Officer in the review, control and processing of Obligation Requests and Status (OBRs) and Budget Requests and Status (BURs)

2.  Assist the Budget Officer in monitoring fund allocation and utilization.

3.  Assist the Cashier in the preparation and sending of checks / LDDAP-ADA, issuance of official receipt, tax certificates to clients/ suppliers along with the approved Disbursement Vouchers and other requisites

4.  Monitor all incoming and outgoing documents of the Budget and Cash Unit

5.  Sort and file documents and reports of the Budget and Cash Unit

6.  Facilitate updating and encoding of data to the eBudget system in relation to eNGAS

7.  Monitors/checks the completeness of attachments needed for processing of OBR

8.  Assist depositing collections with Bureau of Treasury and other banks

9.  Prepare report of collection and monthly accountability type, sort, and file monthly reports of collection and accountability

10. Prepare and type report of disbursements for salaries and vouchers for submission to Accounting Unit

11. Perform other tasks as may be assigned by Budget Officer, Cashier and CAO

JOB OUTPUTS

Updated records of financial transactions in the Logbook Encoded and posted transactions into the Budget and Treasury Management System (BTMS) parallel with the hardcopies Incoming/outgoing documents monitored thru the Document tracking system (DTS)/Logbook Documents filed into the respective folders in the filing rack Draft communications/memoranda Financial reports/documents/checks/LDDAP-ADA delivered to oversight agencies/servicing banks Disbursements filed and organized in folders
