Job Description

 

Three (3) Slots for Administrative Assistant III (Senior Bookkeeper and Municipal Roving Bookkeeper)

Salary Grade                          :           9 (Php 21,211.00)

Status of Employment :           :           Contractual

Reports to                               :           Administrative Officer V

 

MINIMUM QUALIFICATION STANDARDS:

 

Education                                :           Completion of 2 years in college

Experience                              :           1 year relevant experience

Training                                   :           4 hours relevant training

Eligibility                                  :           None Required

 

PREFERRED QUALIFICATION:

 

Education

:         Bachelor’s degree in Business Related Courses 

Training

:        8 hours of relevant training

SENIOR BOOKKEEPER

 

·         Monitor the fund releases of CO, availability and utilization of funds of

regional office in the implementation of the Project;                  

·         Monitor and control the disbursements of the Project;

·         Prepare statement of fund releases, Disbursement and Balances;

·         Prepare and submit the Statement of Expenditure (SOE) to DSWD CO;

·         Assist in the preparation and submission of monthly, quarterly and annual financial reports and monitoring to DSWD CO and other oversight agencies;

·         Assist in the review and verification of Liquidation Report /debit memos (copies only) submitted by LBP branch;

·         Handle and maintain all financial records and documents of the Project;

·         Performs other functions as may be directed by the Budget Officer/ Field Office Accountant.

 

·         MUNICIPAL ROVING BOOKKEEPER

 

·         Coordinate with the FO Focal person on the schedule of OTC payment;

·         Gather the controlled Order of payment and Acknowledgement Receipt   

·         (OP/AR) of the Beneficiaries that are schedule for OTC payment for the                                      week and prepare for actual OTC payments;

·         Witness the actual OTC payments made by LBP servicing branch to each   of the beneficiaries;

·         Ensure the true identification of the beneficiaries receiving OTC payments;

·         Ensure that the beneficiaries are able to sign the AR as proof of receipt of grant;

·         Sign the AR as witness during OTC payment;

·         Provide the FA with summary of AR signed by the beneficiaries receiving OTC payments for the day;

·         Encode the unsigned AR or unclaimed grants in the MRBUI;

·         Follow up the transmittal by the LBP serving branch of the paid OP/AR to the FO;

·         Assist the FA in the preparation of the SOE;

·         Performs other related tasks/activities.

·         Check the accuracy of the ID numbers of beneficiaries provided for Payroll preparation;

·         Monitor and report to FO issues, if any, as regards receipt of grants by the beneficiaries.

·         Photocopy/send out and file documents;                  

·         Retrieves files in storage room and from the computer;                   

·         Participates/attend in staff meetings, case conferences, seminars and other activities;     

·         Make telephone calls to qualified applicants for an interview;                      

·         Assist in the preparation of the recruitment documentation;

·         Perform other related tasks and functions as assigned.
